Hotel Planning Manager
Our client is looking for a Hotel Planning Manager to manage all hotel allocations for clients attending our client’s events abroad. To ensure that budgets are adhered to and allocations are maximised at the same time as ensuring that client needs are met as far as possible.
Responsibilities
Hotel Planning
•Work with Operations Manager to analyse the hotel usage of room nights
•Attend and assist negotiation meetings for hotel contracts
•Responsibility for following up all hotel meetings and developing outstanding relationships with supplier hotels
•Management and overseeing hotel contracts, including cancellation deadlines
•Working with accounts team to ensure payment schedules are communicated and followed
•Responsibility for the following key tasks:
-Checking all hotel contracts
-Monitoring of over/under-booking of hotels and dealing with relevant solutions
-Ensuring that cancellation deadlines and payment schedules are adhered to
-Running of hotels on site ensuring that hotel room allocations are maximised and costs controlled
-Book /cancel any additional accommodation for clients if required
Ground Handling
•Liaise with relevant agencies to organise ground transportation for clients
•Check and negotiate all contracts
•Management of bus transfers, hotel desks and all other ground handling services, including providing relevant reports to agencies
Other
•Ensure good communication with other departments to share information and ideas
•Working to agreed deadlines and planning
•Responsible for supporting the hosted buyer team with any administrative requirements
•Help on a range of tasks within the team as requested
•Demonstrate commitment to the team by offering to assist others when the team is busy
•Develop outstanding relationships with clients and ensure that their needs are met or exceeded as far as possible
•Develop contingency plans to account for foreseeable problems
Salary £35,000
40 hours per week Mon – Fri
